Private fees

At Coventry GP, the majority of consultations and services we provide are funded by the NHS.

However, some services requested by patients, employers, solicitors, insurance companies or third parties are not covered under NHS contracts and therefore attract a private fee.

Examples include:

  • Medical forms and reports
  • Insurance paperwork
  • Private certificates and letters
  • HGV and employment medicals
  • Certain vaccinations
  • Private prescriptions

Fees for private work are charged in line with British Medical Association (BMA) guidance where appropriate.

Please Note:

  • Private work is not part of NHS-funded GP services
  • NHS clinical work will always take priority
  • Fees must usually be paid before documents are released
  • Processing times can vary depending on complexity and GP availability
  • Most private requests may take up to 21 working days to complete

Our reception team will advise patients of any applicable fees before work is undertaken.

Examples may include:

  • Private insurance forms
  • Holiday cancellation forms
  • Fitness to travel letters
  • “To whom it may concern” letters
  • HGV/Taxi medical forms
  • Employment medical forms
  • Firearms licence reports
  • Adoption or fostering reports

We may be able to provide:

  • Private sick notes
  • Fitness certificates
  • Travel-related medical letters
  • Vaccination certificates
  • Confirmation of medical conditions where appropriate

Please note that requests are assessed individually and completion cannot always be guaranteed.

Some travel vaccinations and certificates are not covered by the NHS and may incur a private fee.

Examples may include:

  • Hepatitis B
  • Rabies vaccinations
  • Meningitis ACWY
  • Travel certificates

Patients are encouraged to review travel advice well in advance of travelling.

Private prescriptions may occasionally be issued where clinically appropriate.

Medication costs are separate from any consultation or prescription charges and are payable directly to the dispensing pharmacy.

The practice complies with UK GDPR and Data Protection legislation.

Requests for access to medical records or medical information should:

  • Be submitted in writing
  • Include patient consent where appropriate
  • Include identification if requested

Some requests may be free of charge under data protection legislation, although administrative charges may apply in limited circumstances permitted by law.

Why Am I Being Charged?

Certain services fall outside NHS-funded care and require clinicians to complete work outside their contracted NHS responsibilities.

Private reports and forms often require:

  • Review of the full medical record
  • Clinical assessment
  • Professional opinion
  • Administrative processing

Why Can Private Work Take Time?

GPs prioritise urgent NHS clinical care and patient appointments.

Private paperwork is usually completed alongside routine clinical responsibilities and therefore turnaround times can vary depending on workload and complexity.

Can the Practice Refuse Private Work?

Yes. GPs are not obliged to complete all private forms or requests and some requests may not be clinically appropriate or possible.

You should strongly consider adding a clean fee table instead of vague wording.

(You can tailor final pricing internally.)

Using a transparent fee table looks far more professional and reduces reception queries significantly. Similar local practices already do this effectively.
